Recruitment Summary

Dona Ana Community College (DACC) is a comprehensive, learning-centered community college dedicated to a diverse population of learners in support of student success, workforce and economic development and lifelong learning. Established in 1973 at the request of the Gadsden, Hatch and Las Cruces school boards, DACC continues to meet the educational needs of county residents by providing instruction leading to associate degrees and technical certificates as well as community and adult education opportunities. As the second largest community college in the state, DACC offers accessible and affordable higher education opportunities to more than 18,000 students annually with eight learning sites county-wide. As part of New Mexico State University, DACC is accredited by the Higher Learning Commission of the North Central Association of Colleges and Schools.

Job Duties and Responsibilities

Interacts with affiliates where students complete clinical rotations in nursing and allied health to learn current requirements. Develops processes for students to complete external compliance requirements for students. Develops processes for secure storage of student health and legal records required by clinical affiliates. Maintains, updates and stores affiliation agreements between DACC and affiliates. Regularly interacts with the Health Sciences Leadership team to stay informed on regulatory or accreditation requirements for compliance issues.

Required Education

High School diploma or GED certificate.

Required Experience

Three (3) years of experience related to the standard duties as outlined.

Classification Summary

Under direct supervision monitors, posts, and processes university data. Creates and maintains computerized and paper records by performing routine queries and generating applicable reports. Ensures integrity of student, personnel, financial, and/or all other confidential records as appropriate by the department. Makes certain that deadlines are met and completed with a high degree of accuracy. Incumbent is responsible for training and directing records system coding and assignments handled by assistants

Classification Standard Duties

Establishes and maintains filing systems for various data records. Posts and updates information to various records, and other related documents.Answers inquiries concerning the status of information requests; complies with policies concerning the various records maintained.Collects and extracts data from records for various reports; Audits data for accuracy and completeness. Scans and edits for errors during processing. Verifies information contained in data and hard copy records for legitimate requests for such information. Responsibilities includes related maintenance of large and complex filing systems (hardcopy and/or electronic). Assists in identifying, assessing and resolving issues/problems, and is required to assess and resolve non-standard issues/problems . The person in this role will be responsible for seeking advice and escalating issues when faced with tasks/problems outside normal scope of job. Performs miscellaneous job-related duties as assigned.


Knowledge of supplies, equipment, and/or services ordering and inventory control.


Records maintenance skills; Database management skills; Word processing and/or data entry skills; Organizing and coordinating skills; skills in reading, spelling and simple arithmetic.


Ability to gather data, compile information; Ability to communicate effectively, both orally and in writing; Ability to make administrative/procedural decisions and judgments; Ability to create, compose, and edit written materials;

Equivalency Completion of a post-secondary degree or certificate may substitute for years of experience.
